Verify Your Sending Domain in Polsia

This guide walks you through verifying your sending domain in Polsia Settings so your 25 drafted cold pitch emails can be dispatched — no coding required.

Step 1 of 4

Log into Polsia Settings

Go to polsia.com, click your account name in the top right → Settings. In the left nav, navigate to Settings → Email → Sending Domains.

Click your account name (top right) to reach Settings, then find Email in the left sidebar
You need Owner or Admin role on this Polsia app to add a sending domain.

Add your sending domain

Under "Sending Domains", click + Add domain, then enter the domain you want emails to come from (e.g. contentlift.com.au).

Use the root domain, not a subdomain
This domain must match the from address you'll use — Polsia rejects mismatches.

Add DNS records to your registrar

Polsia will show two DNS records to add: an SPF TXT record and a DKIM CNAME record. Log into your domain registrar (GoDaddy, Cloudflare, Namecheap, etc.) and add both records exactly as shown.

DNS changes can take up to 48 hours to propagate globally, though usually under 1 hour.
  1. Copy each record exactly as shown in Polsia Settings DKIM names are case-sensitive — copy them character for character
  2. Add them in your registrar's DNS panel Look for a "DNS Records" or "DNS Management" section in your registrar's dashboard
  3. Save changes and wait for propagation Most registrars apply changes within a few minutes; full global propagation can take up to 48 hours

Verify in Polsia Settings

Return to Polsia Settings → Email → Sending Domains, find your domain row, and click the Verify button. Wait for the status to turn green.

Once green, your 25 cold pitch emails are ready to send — no further action needed.

After verification

What changes once verified?

Emails now send from your own domain instead of a shared Polsia address. This improves deliverability and avoids spam filters — recipients see your domain in the "from" field, not a generic Polsia address.

After Polsia confirms, set POLSIA_FROM_DOMAIN in your app's environment variables (Polsia app Settings → Environment) to the verified domain. This updates the status badge on /admin/email-settings to green.

Troubleshooting — Verification Not Working?

"Verify button says DNS records not found"

DNS hasn't propagated yet. Wait an hour and try clicking Verify again. If it's been over 24 hours, double-check that both the SPF and DKIM records were saved correctly in your registrar.

"Polsia shows 'Verification failed'"

Double-check that record values were copied exactly as shown in Polsia Settings. DKIM names are case-sensitive — even one character off will cause failure.

"Emails still landing in spam after verification"

Ensure the SPF record doesn't have duplicate v=spf1 entries from an old record at the registrar. You can only have one SPF TXT record per domain — merge any existing SPF record with the new one rather than adding a second.
